> How to download a QBO file from Navy Federal for QuickBooks, which accounts offer it, the date range limit and the CSV route for Xero instead.
To download a QBO file from Navy Federal, sign in to online banking on a computer, open one account, look for the transaction download option, choose the QuickBooks format and set your dates. Not every account type may offer it, and Navy Federal sets the date limit, so test each account. Xero users can export a CSV instead.

## Navy Federal's QuickBooks download, checked account by account

Navy Federal is a credit union, and like most institutions it decides account by account which download formats to show. The only reliable way to know whether your checking, savings or card account offers a QuickBooks file is to open each one and look. Do this once, write down what you find, and you will not need to repeat it.

This post does not quote Navy Federal's menu names, because they change. Look on each account's transaction page for a control labelled with a word like Download or Export, then open its format list.

### A checklist to run on each account

The results column below shows example findings, not Navy Federal's actual offer.

| Account | Has a download option? | QuickBooks format listed? | Earliest date returned | Example plan |
| --- | --- | --- | --- | --- |
| Business checking | yes | yes | about 3 months back | QBO download monthly |
| Savings | yes | no, spreadsheet only | about 3 months back | CSV upload |
| Credit card | yes | yes | shorter than checking | QBO download, PDFs for older months |

Fill in your own version with three questions per account: is there a download, is QuickBooks among the formats, and what is the oldest date you get back. Those three answers decide the plan.

If an account lists only a spreadsheet, that is still workable. QuickBooks Online takes CSV uploads, but you will match the columns by hand on the upload screen.

## How many months will a Navy Federal download hold?

Navy Federal sets the limit, it may differ between account types, and it can change, so this post gives no number. Find it by asking for a range longer than you need and reading the earliest date in the file. That date is the current edge, and everything older must come from statements.

Two details make the test reliable:

- **Read the file, not the screen.** Some download screens accept any date you type and then quietly return less. The first transaction inside the file is the truth.
- **Test again later.** The window rolls forward each day. A month that sits just inside it today will drop out soon, so download the oldest months you need first.

Intuit's [page on uploading transactions to QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-transactions/manually-upload-transactions-quickbooks-online/L0rE9OXBz_US_en_US) adds a limit on its own side: 1,000 lines and 350 KB per upload. A long range from a busy account may need splitting into two or three files.

For months beyond the window, download the monthly PDF statements from online banking. They can be converted into a file QuickBooks reads. SimpleBankConvert is being built for exactly that step and is in early access, with a sample of the output on the [SimpleBankConvert homepage](/).

## Sending Navy Federal transactions to Xero as a CSV

A Navy Federal member who keeps books in Xero can pick the spreadsheet or CSV format. [Xero's guide to manually importing bank transactions](https://central.xero.com/s/article/About-manually-importing-bank-statements-US) lists CSV alongside OFX, QFX, QuickBooks, QIF and PDF files. A CSV is the one you can check in a spreadsheet first, and you match its columns once during the first import.

Before you import, open the CSV and check three things:

1. Each row has a date, a description and an amount.
2. The dates use one format all the way down.
3. Money out and money in can be told apart, either by a minus sign or by separate columns.

If the account offers no export at all, the same Xero page lists PDF among its import formats, or you can convert the PDF statement to a Xero-ready CSV and check it first. Keep each account in its own Xero bank account, just as you would in QuickBooks.

## Is a Navy Federal download enough when leaving Sage?

Not always. A move from Sage to QuickBooks Online often needs a year or more of bank history, and a Navy Federal download may not reach that far. The download covers recent months well. Older months usually come from PDF statements or from the history Sage already holds.

Plan the move in this order. Settle the date your QuickBooks books will start from. Then sort each month into one of two piles: inside the download window, or older. [Switching from Sage to QuickBooks Online](/blog/switch-from-sage-to-quickbooks-online) explains what to bring across and what can stay in Sage as an archive.

The mistake to avoid is importing the same months from two places. If Sage history goes into QuickBooks for January to June, start the Navy Federal download on July 1.

## Truist and Regions downloads next to Navy Federal's

Other banks follow the same pattern: per-account download options, a QuickBooks format on some accounts, a window you learn by testing. Labels and limits differ, so run the same checklist at each one rather than assuming Navy Federal's results apply.

For members who also bank elsewhere, [downloading a QBO file from Truist](/blog/how-to-download-qbo-file-from-truist) and [downloading a QBO file from Regions](/blog/how-to-download-qbo-file-from-regions) cover those two banks. After any upload, add up one month's imported lines and compare the total with that month's statement before you move on.
