> How to keep old QuickBooks data after switching: read-only access, exported reports and backups, so past bank activity stays easy to look up.
To keep old QuickBooks data after switching, save three things before you stop paying or stop opening the file: a full backup, a set of reports exported as PDF and spreadsheet, and the bank statements behind them. Keep the old program readable if you can, but rely on the exported reports, because those open anywhere for years.

## Old QuickBooks data you will need to look up later

Old QuickBooks data is mostly used to answer a few predictable questions. Was this invoice paid, and when? What did we spend with this vendor in a past year? What was the bank balance at a year end? Knowing the questions tells you which reports to save, so you are not stuck reopening the old program.

### The usual questions

- A customer disputes an old invoice and wants proof of payment.
- Your accountant or a tax agency asks how a figure on an old return was built.
- A lender wants several years of profit and loss figures.
- You need a vendor's total spend for a past year, for a contract or a 1099 check.
- Someone asks what a particular bank payment was for.

Each one is answered by a report, not by the live file. Plan the save list around them.

## Keeping an old QuickBooks Desktop file openable

An old QuickBooks Desktop file stays readable only while a working copy of Desktop can open it. Intuit retires Desktop versions on a schedule, and a retired version loses services. Assume the file may become hard to open on a new computer, and save reports while it still opens easily.

### What stops working

Intuit's [QuickBooks Desktop service discontinuation policy](https://quickbooks.intuit.com/learn-support/en-us/help-article/feature-preferences/quickbooks-desktop-service-discontinuation-policy/L17cXxlie_US_en_US) says QuickBooks Desktop 2023 is discontinued after May 31, 2026. A discontinued version loses live support and security updates. Online banking stops, so transactions no longer download or upload. Payroll tax calculations stop too. The policy does not say whether the company file still opens, so do not count on it.

### Moving to another program

If you are moving to Xero, the old file's data matters during the switch as well as after. The guide to [switching from QuickBooks Desktop to Xero](/blog/switch-from-quickbooks-desktop-to-xero) walks through that move, and the reports you save for it double as your archive.

## Reports to export from old QuickBooks before you lose access

Export each report for every year you might need, as both a PDF to read and a spreadsheet to sort. Intuit's article on [importing and exporting data in QuickBooks Desktop](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-export-data-files/import-export-data-quickbooks-desktop/L9KS42UxP_US_en_US) points to Excel or CSV for moving lists and transactions out, so the spreadsheet copies are easy to make.

### A save checklist

| Save this (per year) | Format | Answers later |
| --- | --- | --- |
| Profit and loss | PDF | What did we earn and spend? |
| Balance sheet at year end | PDF | What did we own and owe? |
| General ledger | Spreadsheet | How was this figure built? |
| Customer transaction detail | Spreadsheet | Was this invoice paid? |
| Vendor transaction detail | Spreadsheet | What did we pay this vendor? |
| Bank register for each account | Spreadsheet | What was this payment? |
| Last bank reconciliation report | PDF | Did the books match the bank? |
| Customer, vendor and item lists | Spreadsheet | Who and what did we deal with? |

Name each file with the company, the report and the year. Store them with the original bank statements.

## How long should old QuickBooks records be kept?

Keep old QuickBooks records for as long as the tax returns they support can be examined. The IRS page on [how long to keep records](https://www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records) gives three years in most cases, six if more than 25% of gross income went unreported, and at least four years for employment tax records.

### Longer than the IRS asks

The same IRS page notes that other parties, such as insurers or creditors, may require you to keep records longer. Property records follow the asset, kept until the period runs out for the year you dispose of it. Many businesses keep year-end reports far longer than the minimum, simply because they take little space.

### The statements count most

Bank statements back up every figure in the old books. Keep the PDFs, not just the imported lines in the new software. If you are moving the statements into Xero as well, the guide to [importing a PDF bank statement into Xero](/blog/import-pdf-bank-statement-into-xero) explains how the file is built while the PDF itself stays in your archive.

## Why do old QuickBooks backups fail to restore?

A backup is useful only if it restores. Backups fail for dull reasons: the file was saved to a drive that later died, a newer version of QuickBooks updated it in a way the old one cannot read, or nobody remembers the admin password. Test the restore once, the day you make it.

### Avoid these mistakes

- **One copy only.** Keep the backup in two places, such as an external drive and a cloud folder.
- **No password note.** Store the admin login with your other business records.
- **No version note.** Write down which QuickBooks version and edition made the file.
- **Reports skipped.** A backup without exported reports leaves you dependent on old software.

Other moves have their own version of this step. [Switching from Sage to QuickBooks Online](/blog/switch-from-sage-to-quickbooks-online) covers that move when Sage is the program you are leaving, and the archive habits here apply to a Sage file too. If you need to rebuild bank history in new software from those archived statements, SimpleBankConvert is being built to turn a PDF statement into an import file; the [home page](/) shows how.
