> Why pending transactions don't appear in a QuickBooks Online bank feed, when they show up, and why their amounts or dates may change once they post.
Pending transactions never appear in a QuickBooks Online bank feed. QuickBooks downloads a purchase or deposit only after your bank posts it, which can take one to several business days. The posted line may then show a different amount or date from the pending one, so treat the posted version as the real one.

## Why doesn't the bank feed download pending transactions?

The bank feed skips pending transactions on purpose. Intuit's guide to [categorizing and matching online bank transactions](https://quickbooks.intuit.com/learn-support/en-us/help-article/banking/categorize-match-online-bank-transactions-online/L1bTafTz3_US_en_US) says it directly: QuickBooks Online won't download pending transactions. A pending line is the bank's provisional record, not a settled one, and books built on provisional numbers would need constant correcting.

From the bank's side, "pending" means the merchant has asked for the money and the bank has set it aside, but the final charge has not been settled. The merchant can still change the amount, cancel the hold or settle it on a later date. Until that happens, there is nothing final for QuickBooks to record.

So if a charge from this morning is in your banking app but missing from QuickBooks, the feed is behaving correctly. A missing line only becomes worth chasing once the bank shows it as posted.

## When a pending charge finally reaches the QuickBooks feed

A pending charge reaches the QuickBooks feed on the first download after your bank posts it. Most connected accounts download every night, starting around 10 PM Pacific time according to Intuit's page on [downloading recent bank and credit card transactions](https://quickbooks.intuit.com/learn-support/en-us/help-article/multi-factor-authentication/download-recent-bank-credit-card-transactions/L86TTVI3Y_US_en_US). Posting itself takes one to a few business days.

The same Intuit page adds that some banks send new data only every other day, weekly or on some other schedule, and that some American Express accounts update two or three times a week. Weekends and holidays stretch the wait further, because many banks do not post on those days.

You can press Update on the Bank transactions page to fetch sooner, but it only collects what the bank has already posted. It does not turn a pending line into a posted one. The full timing picture, including retries when a nightly download fails, is in [how often QuickBooks Online updates bank transactions](/blog/how-often-does-quickbooks-online-update-bank-transactions).

## Pending holds whose amount or date changes at posting

A pending hold is often not the final amount. Restaurants authorise the bill before the tip, car rental firms and fuel pumps hold a round figure, and some merchants settle a day or two after the purchase. When the charge posts, the bank replaces the hold with the settled amount and its own posting date.

Here is an example timeline for one restaurant bill. The amounts and dates are made up.

| Day | Banking app shows | QuickBooks feed shows |
| --- | --- | --- |
| Thursday | Pending, $48.00, "CORNER BISTRO" | Nothing |
| Friday | Pending, $48.00 | Nothing |
| Monday | Posted, $57.60, dated Friday, "CORNER BISTRO 0412" | Nothing yet |
| Monday night | Posted, $57.60 | Downloaded, $57.60, dated Friday |

The $48.00 line never reaches QuickBooks. The $57.60 line, with the tip, does. If you kept the receipt, it should show $57.60, which matches the feed.

Descriptions change too. The pending text is often short, and the posted text adds a store number or city. A bank rule that expects one exact description can miss the posted version, so build rules on the stable part of the name.

## The Pending tab is not the same as pending bank transactions

The Pending tab in QuickBooks Online is the review queue for lines that have already posted and downloaded. Some accounts label it For review instead. The name has nothing to do with pending bank transactions, which QuickBooks never downloads, and mixing the two up causes real mistakes.

Intuit's guide says QuickBooks sends downloaded transactions to the Pending tab and suggests a category for each. Lines there are posted at the bank but not yet in your books. They stay there until you add, match or exclude them.

The difference matters most if you ever disconnect the feed. Intuit's article on [disconnecting accounts connected to online banking](https://quickbooks.intuit.com/learn-support/en-us/help-article/bank-feeds/disconnect-delete-accounts-connected-online/L2Cbj38ar_US_en_US) warns that QuickBooks removes anything still in the Pending tab when you disconnect. Someone who thinks that tab holds the bank's "pending" charges may assume those lines will come back on their own. They might not.

QuickBooks Desktop uses its own words. Depending on your bank feed mode, waiting lines appear in a Transaction List or alongside the register, as compared in [QuickBooks Desktop Express mode vs Classic mode](/blog/quickbooks-desktop-express-mode-vs-classic-mode). The Desktop setup is in [downloading bank transactions into QuickBooks Desktop](/blog/how-to-download-bank-transactions-into-quickbooks-desktop).

## Should you enter a pending charge by hand?

Enter a pending charge by hand only when you need it in your books before the bank posts it, such as at month end or when paying a bill early. Use the receipt amount, not the hold amount. When the posted line downloads, match it to your entry instead of adding it again.

If the posted amount differs from your entry, edit your entry to the posted amount before matching. The bank's figure is what the statement will show, and the reconciliation will only balance if the books agree with it.

For most small purchases, waiting is simpler. A day or two later the feed brings in the posted line with the right amount and date, and there is nothing to match.

The bank statement is the final word if anything still looks off. If you need to bring a statement's posted lines in as a file, for example a Citi card statement, [converting a Citi bank statement to QBO](/blog/convert-citi-bank-statement-to-qbo) walks through it. [SimpleBankConvert](/get-started) is being built to make that file from the statement PDF, with the bank's posted dates and amounts.
