Convert US Bank Statement to QBO for QuickBooks

By SimpleBankConvertPublished October 7, 2026Updated October 7, 2026

To convert a US Bank statement to QBO, copy each activity section separately, make deposits positive and withdrawals and checks negative, then merge the sections into one list sorted by date. Check that each section's rows add up to its printed total and that the opening balance plus the net equals the closing balance before you build the file.

How is a US Bank statement laid out by section?

Many US Bank checking statements group activity by type rather than printing one running list. Deposits sit in one block, card purchases and electronic withdrawals in another, and paid checks in a third, each with its own subtotal. That suits a person reading one kind of activity, not a file that wants date order.

Your own statement may use different section names, and the bank changes its layout from time to time. Before you copy anything, flip through every page and write down:

  • The account and period. The account name, the last four digits and the statement period with full years.
  • The opening and closing balances. These are the final proof.
  • Each activity section and its total. A typical set is deposits, withdrawals and checks paid, but list whatever your statement prints.
  • Any balance listing. Some statements end with a list of daily balances. Those are balances, not transactions.

That page of notes becomes your checklist. Every section you listed must end up in the file, and every section total must match the rows you copied from it.

A text PDF, not a picture

The method below assumes you downloaded the statement from online banking, so the PDF contains real text. A mailed statement that was scanned is a picture of text, and every number has to be recognised first. If you are not sure which you have, telling a scanned PDF bank statement from a digital one takes under a minute.

Merging US Bank deposit and withdrawal sections into one dated list

Merge the sections in two passes. First copy each section on its own, with its sign applied, and check it against its subtotal. Then combine all sections into one table and sort it by date. Doing the check before the merge means a missing row is found inside a short section, not lost in a full month.

Here is an example. The payees and amounts are made up, for an April 2026 statement with an opening balance of 3,905.40.

Deposits section (subtotal printed: 4,620.00)

Date Description Amount
2026-04-03 Electronic deposit Bluestem Catering 2,870.00
2026-04-17 Mobile check deposit 1,750.00

Other withdrawals section (subtotal printed: 1,486.75)

Date Description Amount
2026-04-02 Debit card purchase Quarry Lane Supply -214.75
2026-04-09 Electronic withdrawal Ridgeway Insurance -1,250.00
2026-04-30 Maintenance fee -22.00

Checks paid section (subtotal printed: 1,380.00)

Date Check no. Amount
2026-04-08 2211 -680.00
2026-04-22 2212 -700.00

Each section matches its subtotal: 2,870.00 plus 1,750.00 is 4,620.00; 214.75 plus 1,250.00 plus 22.00 is 1,486.75; 680.00 plus 700.00 is 1,380.00. Now merge and sort:

Date Description Check no. Amount
2026-04-02 Debit card purchase Quarry Lane Supply -214.75
2026-04-03 Electronic deposit Bluestem Catering 2870.00
2026-04-08 Check 2211 -680.00
2026-04-09 Electronic withdrawal Ridgeway Insurance -1250.00
2026-04-17 Mobile check deposit 1750.00
2026-04-22 Check 2212 -700.00
2026-04-30 Maintenance fee -22.00

Seven rows went in and seven came out. When two rows share a date, their order within the day does not matter to QuickBooks, so you do not need to guess the bank's posting sequence.

Signs come from the section

In this layout, the section tells you the sign, because the amounts themselves are usually printed without one. Everything in a deposits section is positive. Everything in a withdrawals or checks section is negative. Apply the sign as you copy each section, while you still know which section a figure came from.

US Bank checks paid lists and the check number field

A checks paid section lists each cleared check with its number, the date it was paid and the amount. The U.S. Bank deposit account agreement describes exactly that for its check safekeeping plan, and an optional plan that adds reduced images of the checks to the statement. Either way, each check becomes one negative row.

Treat the check columns carefully:

  • The number goes in its own field. A QBO file has a slot for a check number. If you build a CSV first, write it into the description, such as "Check 2211", so it is not lost.
  • The date is the paid date. It is when the check cleared, not when you wrote it. Keep that date, because it is the one the statement balance reflects.
  • Gaps in the numbers are normal. A missing number usually means that check has not cleared yet or was voided. Do not add a row for it.
  • Some lists run in columns across the page. The checks may be printed two or three per line to save space. Read each set of number, date and amount as a separate row.

If you chose the image plan, the check pictures at the end of the statement repeat checks already in the list. They add no new rows.

Proving the merged US Bank rows with the balance summary

The final proof is the balance equation: the opening balance plus every deposit, minus every withdrawal and check, must equal the closing balance printed on the statement. If you already matched each section to its subtotal, this step confirms you did not miss a whole section, which is the one error the subtotal checks cannot see.

For the example above:

  1. Total deposits: 4,620.00.
  2. Total withdrawals and checks: 1,486.75 plus 1,380.00 is 2,866.75.
  3. Net movement: 4,620.00 minus 2,866.75 is 1,753.25.
  4. Closing balance: 3,905.40 plus 1,753.25 is 5,658.65.

If the statement's closing balance is 5,658.65, the merged table is complete. If it is off by an amount that equals one section's subtotal, a whole section was skipped, most often a short one on the last page such as fees or interest.

The bank's agreement asks customers to examine statements and report problems within a set period, 30 calendar days in the version linked above. Converting each month soon after it arrives, and running this check, means you see any odd item while there is still time to raise it.

SimpleBankConvert is being built to turn a digital PDF statement into a CSV or QBO file with one amount column, money out shown as a minus. Accounts are not open yet. You can see a sample file on the homepage.

Does a US Bank combined statement hold more than one account?

Yes, it can. The agreement says the bank may combine accounts with a common owner on one monthly statement, and that you can ask for separate statements instead. A combined PDF holds a full set of sections for each account, and each account needs its own QBO file.

Look for a new account number and a new opening balance partway through the PDF. Everything from there to the next account heading belongs to that second account. Run the section and balance checks for each account on its own, then build one file per account.

Credit unions combine share, draft and loan accounts on one statement in a similar way, and their account names can be harder to read. Getting a credit union PDF statement into QuickBooks covers those layouts.

If you would rather stop the combining, ask the bank for separate statements. Months that were already combined stay that way, so you will still need to split those.

First US Bank QBO upload mistakes and how to avoid them

Most first-import problems come from three mistakes: uploading into the wrong account, overlapping a bank feed, and importing a month twice. None of them shows an error at upload time. Each one shows up later as a balance that will not agree with the statement.

Choosing the account

QuickBooks Online asks which account the transactions belong to when you upload. Intuit's page on uploading transactions manually recommends QBO files for transaction lists and limits each upload to 350 KB and 1,000 lines. Pick the QuickBooks account for this US Bank checking account, not a savings account or a card that happens to share a name. In QuickBooks Desktop, the same file comes in through Web Connect, and importing bank transactions into QuickBooks Desktop walks through linking it to the right account.

Overlapping a bank feed

If the account already has a bank feed, check the earliest date the feed brought in. Convert and import only the months before that date. Converted rows and feed rows for the same day will not recognise each other.

Importing a month twice

Keep a short log: the month, the date you imported it and the closing balance you matched. A month on the log is done. If a month seems to need importing again, check the log before you upload anything, then search the account register for one of that month's amounts. A match means the month is already in, and the problem lies elsewhere, often in the account you picked.

When you have a credit card statement to import as well, remember that its signs work the other way, as the guide to importing an Amex statement into QuickBooks explains.
