Export Bank Register from QuickBooks Desktop to Excel

By SimpleBankConvertPublished May 30, 2025Updated May 30, 2025

To export a bank register from QuickBooks Desktop, turn the register into a report first, because the register window itself has no export button. Run a QuickReport or a Transaction Detail report filtered to the bank account and the dates you need, then choose Excel > Create New Worksheet. Save that worksheet as CSV if someone needs a plain file.

Is there an export button in the Desktop bank register?

No. The bank register in QuickBooks Desktop is an entry screen, and it can be printed but not sent to Excel directly. Exporting goes through a report that lists the same transactions. Reports have an Excel button, so the register's lines reach a spreadsheet one step removed.

Printing the register is still useful when someone wants paper. It is a poor substitute for an export, though, because a printed page cannot be sorted, filtered or compared with a formula. For any checking work, build the report.

Building a register report to send to Excel

Two reports hold the register lines. The quickest is the QuickReport for the account, which you can start from the register itself or from the chart of accounts. The more flexible one is a custom Transaction Detail report filtered to the bank account, where you choose the columns, the date range and the sort order.

The QuickReport route

Open the bank register and look for the QuickReport button along the top, or select the account in the chart of accounts and choose the account's QuickReport from the Reports button at the bottom. Set the dates to the period you need. The report lists every transaction in the account with date, number, name, memo and amount.

The custom report route

Choose Reports > Custom Reports > Transaction Detail. On the Filters tab, set Account to your bank account. On the Display tab, pick the columns you want and set the dates. This route is worth the extra minute when you need a column the QuickReport leaves out, such as whether each line has cleared.

Columns worth keeping

Column Why it helps
Date Lets you compare lines with the bank statement period.
Num Shows check numbers and catches gaps or repeats.
Name Shows the payee or customer on each line.
Memo Shows any memo text saved on each line.
Clr Marks which lines are reconciled or cleared.
Amount One signed figure per line, easy to total.
Balance The running balance, to compare with the statement.

Exporting the bank register report as a worksheet or CSV

With the report open, choose the Excel button and then Create New Worksheet. Intuit's article on importing and exporting Excel files in QuickBooks Desktop describes this path, with an Advanced button for format options, and says the export includes the shown data, totals, row labels, headers and footers.

The steps

  1. Open the QuickReport or Transaction Detail report for the bank account.
  2. Set the date range, for example 01/01/2026 to 03/31/2026.
  3. Choose Excel > Create New Worksheet.
  4. Choose Advanced if you want to change how the sheet looks, then OK.
  5. Choose Export. Excel opens with the report.
  6. To make a CSV, use Excel's Save As and pick CSV, after removing the report's title rows and total rows.

Intuit's article adds that if headers do not show in newer Excel versions, set the printing option to show them on the printed report and on screen. Before you save as CSV, delete subtotal and total rows, because a CSV reader treats them as ordinary transactions.

If your Desktop runs on a hosted server, the worksheet may be saved on the host rather than your own computer. Importing Web Connect files into hosted QuickBooks Desktop covers how files move between the host and your machine.

Using an exported bank register to check imported lines

An exported register is a good way to audit an import. Put the export beside the bank statement or the file you imported, sort both by date and amount, then look for doubled lines, missing lines and amounts with the wrong sign. A formula that counts each amount on both sides finds most problems in a minute.

The export also helps when you hand books to someone else, such as an accountant, a lender or a new bookkeeper, who does not have Desktop. And it keeps a record before a big change. If you are planning for the end of your Desktop version's support, what the QuickBooks Desktop sunset means for bank imports explains why a full export of each account is worth keeping. If the export shows missing lines you need to add by hand, manually adding bank transactions to QuickBooks Desktop covers the right window for each type.

Can an exported bank register go back in as a bank file?

No. An exported register is a report, not a bank file. Desktop's bank import expects a Web Connect file with bank and account details and a unique ID for each transaction, which a spreadsheet does not have. Importing the export as bank lines would also duplicate transactions that are already in the books.

If you want to move the lines into another company file or another program, a converter can turn a clean CSV into a QBO file, but the duplicate risk stays and the IDs will be new. What to check before you pick a CSV to QBO converter covers that trade-off. For new statement lines rather than old register lines, SimpleBankConvert is being built to make the import file straight from the bank's PDF, which avoids the round trip through a register. It is in early access.
