How to Download QBO File from Wells Fargo

By SimpleBankConvertPublished October 9, 2026Updated October 9, 2026

To download a QBO file from Wells Fargo, sign in to online banking on a computer, open Download Account Activity, select the account, set the From and To dates, choose QuickBooks (Web Connect) and press Download. Business accounts get the last 90 days by default, and an extended time frame can reach up to 18 months.

Wells Fargo puts its file downloads behind a link called Download Account Activity, which its business banking pages place on the Account Services page. You will not find it inside the transaction list itself, which is where many people look first and give up.

Wells Fargo's own page on business account activity and downloads says to select the Download Account Activity link on Account Services. The same page says activity can be downloaded into Quicken, QuickBooks (Web Connect) or a spreadsheet. Those three choices come up again in the next sections.

A few habits make the first visit easier:

  • Use a desktop browser. Download screens are built for the full website. A phone browser can save the file somewhere you will never find it again.
  • Know which account you want. A business with checking, savings and a card has three separate download jobs, one per account.
  • Have your QuickBooks open date in mind. The date you need to start from depends on what is already in your books, so check the last transaction QuickBooks holds for that account before you sign in.

Menu wording at any bank changes over time. If the link has moved, search the site's help for "download account activity" and follow whatever path it gives today.

Wells Fargo QuickBooks (Web Connect) steps from Select to Download

Wells Fargo's Web Connect download takes four actions: pick the account, press Select, confirm the From and To dates, then choose QuickBooks (Web Connect) and press Download. The file that comes out has a .qbo ending, and that is the file QuickBooks reads.

Here is the full sequence, based on Wells Fargo's QuickBooks Web Connect instructions:

  1. Sign in to Wells Fargo online banking and go to Account Services.
  2. Open Download Account Activity.
  3. Choose the account whose activity you want and click Select. The From and To dates fill in on their own under Date Range.
  4. If you need different dates, clear the date field and type the one you want.
  5. Check both dates once more. Only transactions inside them go into the file.
  6. Choose QuickBooks (Web Connect) as the format and click Download.
  7. Repeat steps 3 to 6 for every other account.

What happens next depends on your computer. On Windows, a dialog may ask whether to open or save the file. Choosing Open hands it straight to QuickBooks Desktop, and the first time you do this for an account, QuickBooks asks whether to use an existing account or create a new one. On a Mac, the file lands in the Downloads folder, and you bring it in through File, then Import, then From Web Connect.

Uploading the file to QuickBooks Online

QuickBooks Online does not open the file by double-click. You upload it from the Bank transactions page with Upload from file. Intuit's page on uploading transactions manually into QuickBooks Online names QBO as the suggested file type and sets a ceiling of 350 KB and 1,000 lines per upload. A busy account with 18 months of activity can pass that, so plan to split long ranges into a few downloads.

Name the file before you lose track of it

Rename each download as soon as it lands, for example wf-checking-2026-01-to-2026-06.qbo. The default name tells you little, and a folder of identical names is how the same file gets uploaded twice.

Which Wells Fargo download format should a QuickBooks user pick?

Pick QuickBooks (Web Connect) if you use QuickBooks, Online or Desktop. It gives a .qbo file that needs no column matching. The spreadsheet option is the fallback for Xero, for a check in Excel first, or for software that reads CSV. The Quicken option is for Quicken users.

The three options side by side:

Format option on the Wells Fargo screen What you get Best for
QuickBooks (Web Connect) A .qbo file QuickBooks Online upload, QuickBooks Desktop import
Quicken A file made for Quicken Quicken users only
Spreadsheet A comma separated file you can open in Excel Xero, Google Sheets, a quick look before importing

The Quicken file is the one people pick by mistake, because the names sit next to each other. QuickBooks Desktop's Web Connect reads .qbo files only, so a Quicken file will not go in there, even though the two look alike inside.

The spreadsheet option has a cost. QuickBooks Online will accept a CSV, but it asks you to tell it which column is the date, which is the description and how the amounts are laid out. A QBO file carries all of that already. Choose the spreadsheet route only when you have a reason, such as cleaning descriptions before import or sending the data to Xero.

Does the 90-day Wells Fargo default cut your file short?

Yes, if you do nothing else. Wells Fargo's business pages say downloads cover the last 90 days by default. A file you make without changing anything therefore stops about three months back, even if the account has been open for years.

That default catches people in two common situations.

Catching up after a gap. Say it is mid-October and the last transaction QuickBooks holds for your checking account is from early May. The default download starts in mid-July, so May, June and early July are missing. Nothing warns you. The file imports cleanly and the gap shows up later as a balance that will not reconcile.

Setting up a new QuickBooks account. When an account is new to QuickBooks, you usually want history back to the opening balance date. Ninety days rarely gets you there.

Check the result every time: open the review screen after upload, sort by date and look at the earliest transaction. If it is later than the day you needed, the default trimmed your file.

Reaching back with the Wells Fargo extended time frame

Wells Fargo's business pages say up to 18 months of account activity may be available. To get it, choose the extended time frame on the Account Activity page and press Go, then pick the wider date range on the download page. Skipping the first step leaves you inside the 90-day default.

In order:

  1. On the Account Activity page for the account, choose the extended time frame and press Go.
  2. Go to Download Account Activity.
  3. Set a From date as far back as you need, within the 18 months.
  4. Choose QuickBooks (Web Connect) and download.

Note the wording "may be available". The 18-month figure comes from Wells Fargo's business banking pages, and personal accounts may follow different rules. Treat 18 months as a ceiling to test rather than a promise.

A worked example of splitting the range

Here is an example with made-up figures. A landscaping business switches to QuickBooks Online in October 2026 and wants all of 2026 in the books. Its checking account runs about 140 transactions a month.

Download From To Example line count
File 1 2026-01-01 2026-04-30 about 560
File 2 2026-05-01 2026-08-31 about 560
File 3 2026-09-01 2026-10-15 about 210

Each file stays under Intuit's 1,000-line limit. The ranges touch but do not overlap, so no day comes in twice. A single January-to-October file would hold roughly 1,330 lines and fail.

Wells Fargo months a QBO download cannot reach

Anything older than the download window, and anything from an account you have closed, has to come from the monthly PDF statements instead. Wells Fargo keeps those in the statements area of online banking. QuickBooks Online's manual upload can read a PDF statement for you to review, while QuickBooks Desktop needs it converted into a .qbo file first.

The choice of where the download ends and the PDFs begin is really a bookkeeping decision. The post on picking a conversion date when switching to QuickBooks explains how to settle on the date your QuickBooks history starts. Once that date is fixed, every month after it that the Wells Fargo download reaches can come from Web Connect, and every month before the window opens needs a statement.

Two mistakes are worth avoiding here:

  • Downloading days you already converted. A converted statement and a Wells Fargo download describe the same payments in different files. QuickBooks treats them as different transactions, so overlapping days appear twice.
  • Assuming a closed account still downloads. Once an account is closed, online activity can disappear from view. Save its statements as PDFs before you close it.

For the PDF months, SimpleBankConvert turns a digital Wells Fargo statement into a CSV or QBO file for QuickBooks Online. It is in early access and accounts are not open yet, so you can ask to be told when it opens.

Do Capital One and Citibank QBO downloads work like Wells Fargo's?

The shape is the same at most US banks: open the account, find the download screen, choose a QuickBooks format, set the dates. What changes is the menu name, the default range and the furthest date you can reach. Do not carry the 90-day and 18-month figures over to another bank.

If you hold accounts at more than one bank, each one needs its own routine:

A habit that works at every bank: after each upload, add up the imported deposits and withdrawals for one month and compare them with the statement for that month. When they agree, the download was complete. When they do not, look first at the start and end dates you typed, because a range one day short is the usual reason.
