How to Get Bank Statements from QuickBooks Online

By SimpleBankConvertPublished October 16, 2026

You cannot get an actual bank statement from QuickBooks Online, because it does not store the PDF your bank issues. What you can get is a report built from the transactions you entered or imported, such as a register report, and any PDFs you attached yourself. The bank's own statement stays with the bank.

Does QuickBooks Online store bank statements?

QuickBooks Online stores transactions, not statements. It keeps the lines that came in through a feed or a file, the matches you made, and the reconciliation records you created. It has no archive of monthly PDFs from your bank. Those documents belong to the bank and sit in its online banking.

Why the difference matters

A bank statement is a document the bank produces and stands behind. It carries the bank's name, your account details, the statement period and the bank's balances. A QuickBooks report is your own record of the same period. It can match the statement exactly, but it was made by you, from your books. Anyone who asks for "the statement" may mean either, so find out which before you send anything.

What a feed does and does not bring

A bank feed delivers transaction lines: date, description, amount. It does not deliver the printed statement. If you connected your bank and expect to find monthly PDFs in QuickBooks, you will not find them. The last section covers this in more detail.

A worked example of the two documents disagreeing

Suppose the bank's March statement closes at 8,410.00 (an example figure), and your register report for March 1 to March 31 closes at 8,655.00. The 245.00 gap is not a QuickBooks fault. It may be a check you wrote on March 30 that the bank has not cashed, a deposit you entered before it posted, or a line the feed never delivered. Reconciling against the statement is the step that sorts these out, item by item, and the reconciliation report it produces is your record of having done so.

What QuickBooks does give you

The table below compares what QuickBooks can produce with what only the bank can. The names are the common ones in QuickBooks Online, and menus can move between releases.

Document From QuickBooks Online? Who makes it Good for
Bank register report (transactions for one account) Yes You, from your books Your own review, a stand-in for a missing statement
Reconciliation report Yes, after you finish a reconciliation You, from your books Proving your books agree with a statement
Attachments you uploaded Yes, if you attached them You Keeping the bank's PDF next to the entries
The bank's statement PDF No The bank Loans, audits, disputes, proof of balance
An official statement copy with a bank stamp No The bank Situations that require the bank's own document

Read the table as a division of labor. QuickBooks covers your records. The bank covers its own paperwork.

The bank register report as a stand-in for a statement

The bank register report is a list of every transaction in one bank account for a date range you choose, with a running balance. It is the closest thing QuickBooks can print to a statement, and it works well for your own checks, though it is not the bank's document.

How to produce one

  1. Open the reports section and search for the account's register or transaction detail report.
  2. Set the date range to match a statement period, for example the first to the last day of a month.
  3. Filter to the one bank account.
  4. Add the columns you need, such as date, payee, memo and balance.
  5. Run it, then export to PDF or a spreadsheet.

Exact report names differ by plan and release, so search by a word like "register" or "transaction detail" if the label you remember is gone.

How to check it against the real statement

Take the register report and the bank's statement for the same month and compare three things: the opening balance, the closing balance and the number of lines. If they all agree, your books reflect the statement. If the closing balance differs, find the gap before you rely on either document. A register that includes uncleared items will differ from the bank's statement, since the bank only counts what has posted. Check each date in the period and note which items were still pending at month end.

Limits of the report

The register report shows what QuickBooks holds. If a transaction was never imported, it is not in the report. If a category was changed, the report shows the new category. So a report can read cleanly and still disagree with the bank. Use it to see your side, and use the statement to see the bank's.

Attached statement PDFs and where to find them

If you attached a statement PDF to QuickBooks yourself, it lives in the attachments area, and usually also on the transaction it was linked to. Nothing is attached automatically. A statement is there only because someone uploaded it.

Where to look

  • The attachments library. QuickBooks Online has a place that lists uploaded files across the company. Search it by file name or date.
  • The transaction itself. Open the entry you attached to and look for the paperclip or attachment panel.
  • The reconciliation. Some users attach the statement to the reconciliation record. Check the history of the reconciliation for the month.

If you cannot find it

Search by the file name you would have used, such as the bank name or the month. If nothing turns up, nobody attached it. Download the PDF again from the bank, which is the dependable source. The guide on attaching the statement PDF when you upload shows how to keep a copy with your books from the start so the question does not return.

Naming and storage habits

A useful file name carries the bank, the last four digits and the period, for example "ExampleBank-4417-2026-03.pdf". Keep one folder per account and per year. If you also keep the PDFs outside QuickBooks, you have two copies, and a company file problem does not cost you your records.

When a lender wants the bank's statement, not a QuickBooks report

A lender, landlord, auditor or tax professional may ask for the bank's own statements because they come from a source independent of you. A report you generated from your own books does not offer that independence. Expect to supply the PDF, and sometimes the full set of pages.

Typical situations

  • A loan or line of credit application, where the lender wants to see deposits and balances as the bank reports them.
  • A lease or mortgage application.
  • An audit or a review of expenses.
  • A dispute with the bank or a merchant about a charge.

In these cases, a register report may support the conversation, but it will not replace the statement.

What to do

Sign in to your bank, find the statements area, and download the PDF for each month requested. If the bank hides older months, call or visit a branch. Ask for complete statements with all pages, not screenshots of a transactions screen. A lender can usually tell the difference, and a missing page can cause a delay.

If a lender asks for a QBO file, remember that it is a data file and not a document. The post on what a QBO file is and how to view it as a PDF explains why, and what to ask the bank for instead.

When your books are the thing being asked for

Sometimes a lender wants your own financial statements too, such as a profit and loss or balance sheet. Those do come from QuickBooks. Keep the two kinds of paper straight: statements of the bank's activity come from the bank, and financial reports about your business come from your books.

Can the bank feed fetch statement PDFs for you?

No. A bank feed in QuickBooks Online brings in transaction lines, not the PDF statement. Connecting your bank does not create a statement archive in QuickBooks. For the actual document, sign in to the bank or request it from the bank.

What the feed actually delivers

The feed provides recent transactions with dates, descriptions and amounts, ready for you to accept or match. The setup and its limits are described in how to download bank transactions into QuickBooks Online with a feed. Desktop users have a similar arrangement, covered in how to download bank transactions into QuickBooks Desktop.

A simple routine to keep statements safe

  1. When the month ends, download the bank's PDF statement.
  2. Reconcile the account in QuickBooks against it.
  3. Attach the PDF to the reconciliation or file it in a folder with a clear name.
  4. Keep both copies.

This takes a few minutes a month, and it spares you from hunting through an old login when a lender or accountant asks for a year of statements.

If the bank only gives PDFs and you need the data

Some banks offer PDF statements and no data download. In that case, the PDF is also the source of your transactions. Intuit's page on uploading transactions from a file describes uploading a statement PDF and reviewing its lines side by side, and a CSV or QBO file made from the PDF is the other way in, one you can check in a spreadsheet first. SimpleBankConvert is being built to make that file from a PDF statement; it is not open yet, so choose Get started to be told when accounts open.
