Switch from Quicken to Xero for a Small Business

By SimpleBankConvertPublished October 5, 2026Updated October 5, 2026

To switch from Quicken to Xero, pick a conversion date at the start of a month, save Quicken's reports and account balances as of the day before, and enter the balances from your bank statements into Xero as conversion balances. Then bring in bank activity from the conversion date through feeds or statement imports. Quicken's file never goes into Xero.

Signs a small business has outgrown Quicken for Xero

A small business outgrows Quicken when it needs things a personal finance program was not built for: invoices that track who owes money, bills to pay on time, a balance sheet an accountant can use, or a bookkeeper who logs in from elsewhere. Xero does all of these in the browser.

Common triggers

  • You send more than a handful of invoices a month and track them in a spreadsheet.
  • Your accountant asks for a trial balance and Quicken cannot produce one.
  • You hired help and need to share the books without mailing a data file.
  • Business and personal spending sit in one Quicken file and tax time is a sorting job.

If your business already runs on QuickBooks Desktop rather than Quicken, the move to the cloud looks different, because Intuit offers a direct path. Uploading QuickBooks Desktop to Online explains that route.

What should you save from Quicken before moving to Xero?

Save reports, not the data file, because Xero cannot read a Quicken file. For each business account, keep a transaction report for every year you did not move, a category report for each of those years, and an account balance report as of the day before the conversion date. Keep a full Quicken backup as well.

A step list for the move

  1. Choose the conversion date, ideally the first day of your financial year or of a month.
  2. In Quicken, list every account and mark each one business or personal. Only business accounts go to Xero.
  3. Save the reports above as PDFs, named by account and year.
  4. Collect the bank and card statements that end the day before the conversion date.
  5. Write down any invoices still unpaid and bills you still owe on that date.
  6. Back up the Quicken file and store it with the reports.

Turning Quicken account balances into Xero conversion balances

Conversion balances are the figures Xero starts from, one per account, as of the end of the day before the conversion date. Take bank and card balances from the statements rather than from Quicken's registers, which can include uncleared items. Unpaid invoices and bills are entered separately so they can be paid off normally.

An example account list

These values are examples only, for a conversion date of 2026-04-01, using balances at 2026-03-31.

Quicken account Moves to Xero? Statement balance at 2026-03-31
Shop Checking 4410 Yes, as a bank account 9,870.32
Shop Savings 4428 Yes, as a bank account 15,500.00
Business Mastercard 3381 Yes, as a credit card 1,204.56 owed
Family Checking 0927 No, stays in Quicken not moved

The difference between what the business owns and owes goes to an equity account. Your accountant can confirm the right equity split, since Quicken never tracked it.

Importing past Quicken-era bank activity into Xero

Past bank activity is optional. If the conversion date is the start of your financial year, you may need nothing older. When you do want earlier months, connect each account's feed and import statement files for any period the feed does not reach, one month at a time, oldest first.

Getting the files

Xero's bank reconciliation page says you can import your transaction data manually when your bank does not connect. The same import fills months before a feed's reach. Download files from your bank where it offers them; older months often exist only as PDF statements. SimpleBankConvert is being built to turn those PDFs into a CSV laid out for Xero's statement import, and the get started page is where to ask for access.

After each import, compare Xero's account balance with the statement's closing balance before moving on.

Why won't a Quicken file open in Xero?

Xero's statement import reads bank statement files, not another program's books, so a Quicken data file or backup will not open there. People lose time trying formats meant for other software, so stick to bank downloads and statement files.

Files that waste time

  • Quicken data files and backups. These are for Quicken only.
  • IIF files. IIF is a QuickBooks Desktop format, and it gives trouble even there; the post on the IIF import error in QuickBooks Desktop shows why.
  • QuickBooks files. Some people route Quicken data through QuickBooks first, then look for a way out. Moving between QuickBooks editions has its own costs, set out in converting a QuickBooks Online file to Desktop, and none of it brings you closer to Xero.

Quicken's own help is clear about its limits in the other direction too. Its article on importing data into Quicken for Windows says Quicken cannot import Excel, QuickBooks, PDF or OFX files. Each program speaks its own formats, and bank statements are the common ground.
