Import Cash App Transactions into QuickBooks Online

By SimpleBankConvertPublished April 15, 2025Updated April 15, 2025

To import Cash App transactions into QuickBooks Online, get your Cash App activity as a CSV, reduce it to three columns (Date, Description, Amount) and upload it to a bank account you set up just for Cash App. When you cash out to your bank, book that line as a transfer, so the same money is never counted twice.

Getting Cash App activity out as a file

Cash App activity reaches QuickBooks Online through a file, so the first job is getting one. Look in your Cash App account for a statements or activity area with an export option. Cash App changes its menus from time to time, so check its own help pages if the export is not where you expect it.

If you can only get monthly statements as PDFs, those can still go in. Intuit's manual upload help page says the upload accepts an account statement as a PDF or image, which QuickBooks reads and shows you side by side so you can correct it. A CSV is still easier to check before it goes in, because you can see and total every row.

The same page lists the limits on a transaction file: 350 KB or less, no more than 1,000 lines, and English text. A busy Cash App account can pass 1,000 rows in a few months, so export in shorter date ranges if you need to. The way your bank hands out its own files is different again, and downloading statements from online banking covers that side.

Reshaping the Cash App export into three QuickBooks columns

A Cash App export has more columns than QuickBooks Online needs. Keep a date, a description and one amount column, and delete everything else. Money you received stays positive, money you sent or spent becomes negative, and every row uses the same date format.

The table shows three made-up Cash App rows before and after. The values are examples.

Cash App row (example) Date Description Amount
Received 85.00 from Example Customer, for "lawn care" 04/02/2026 Example Customer lawn care 85.00
Sent 30.00 to Example Supplier 04/05/2026 Example Supplier -30.00
Cash out 200.00 to bank 04/07/2026 Cash out to checking -200.00

A few clean-up steps prevent most upload errors:

  1. Put the person's name and the payment note together in Description. The note often says what the payment was for, which helps when you categorize.
  2. Delete currency symbols and thousands separators from the amount column.
  3. Leave a money cell blank rather than writing 0.00, as Intuit's page asks.
  4. Delete rows for payments that failed or were cancelled, since no money moved.
  5. Save as CSV and upload it to the Cash App account, not your checking account.

Check the file before uploading: the sum of the Amount column should equal the change in your Cash App balance over the same dates.

Should a Cash App cash out be a transfer or income?

A cash out is a transfer. It moves your own money from the Cash App account to your bank, so it is neither income nor an expense. The income was already counted when customers paid you in Cash App. Booking the cash out as income would count that money a second time.

The cash out appears twice. It shows as money leaving the Cash App upload, and as money arriving on your bank statement a little later. When you review the Cash App line, choose transfer as the type and pick your checking account. When the bank deposit appears, accept the match QuickBooks suggests rather than adding it as new.

Adding money to Cash App from your bank works the same way in reverse: one transfer, matched on both sides.

Do personal Cash App payments belong in the business upload?

Personal Cash App payments do not belong in your business books, and the easiest place to drop them is the CSV, before it reaches QuickBooks Online. Splitting a dinner bill with a friend or paying back a relative is not a business expense, and leaving those rows in only gives you more to explain later.

If you use one Cash App account for both, delete the personal rows from the file. Then add one line per period for what the personal rows did to the balance, labelled as an owner draw or owner contribution. Without it, the Cash App balance in QuickBooks will not match the app. Ask your accountant which equity account they prefer for this.

The cleaner long-term fix is a Cash App account used only for business.

Cash App rows that need splitting or categories after the upload

Uploaded Cash App lines arrive with only a date, a description and an amount. You choose a category for each one in the For review list, and a bank upload cannot carry those categories in, which importing categorized transactions explains in more detail.

Some lines need more than one category. A single payment to a supplier might cover materials and a delivery charge, and importing split transactions shows how to divide one line across several accounts. If only one or two Cash App payments are missing after the upload, it is quicker to add each transaction by hand than to build a new file.

On the bank side, the cash out deposits come from your bank statement. SimpleBankConvert is being built to turn that PDF statement into an upload file, so each deposit from Cash App is ready to match to its transfer.
