Switch from Sage to QuickBooks Online

By SimpleBankConvertPublished March 20, 2026Updated March 20, 2026

To switch from Sage to QuickBooks Online, export your Sage customer, vendor and account lists as CSV files. Run a trial balance at your chosen start date. Import the lists into QuickBooks Online, enter the trial balance as opening balances on that date, then bring in bank statements from the start date onward.

Which Sage edition you are leaving for QuickBooks Online

The Sage edition you are leaving for QuickBooks Online changes the export screens, not the plan. Sage sells several accounting products, and each has its own menus. The steps below use Sage 50 for the US, the desktop edition many small US businesses run. For another edition, look for its equivalent list export and trial balance report.

The plan itself is the same for every edition:

  1. Pick a start date.
  2. Export the lists you want to keep.
  3. Run a trial balance as of the day before the start date.
  4. Load the lists and balances into a new QuickBooks Online company.
  5. Bring in bank activity from the start date.

The same five steps appear in almost every move between programs. Quicken users heading for Xero follow them too, as switching from Quicken to Xero shows. If your company file is QuickBooks Desktop rather than Sage, Intuit has its own transfer, described in uploading QuickBooks Desktop to Online.

Sage 50 lists and a trial balance to export first

Sage 50 exports lists and journals as CSV files through its import and export window. Sage's help page on exporting data from Sage 50 gives the menu path: File, then Select Import/Export. You pick a program area and a template, choose the fields, and save the file with a .CSV extension.

Export these, one file each:

  • Chart of accounts, from the General Ledger area.
  • Customer list, from Accounts Receivable.
  • Vendor list, from Accounts Payable.
  • Inventory items, if you use them, from Inventory.

On the Fields tab, tick the columns QuickBooks will need, such as name, address, phone and email for contacts. On the Options tab, include headings, so each file starts with one header row.

Then run reports to keep as records. Save a trial balance as of the day before your start date, plus a balance sheet and profit and loss for each year. Also save aged receivables and aged payables lists. Export them to Excel or PDF and store them with the CSV files.

Which start date should a Sage to QuickBooks Online switch use?

A Sage to QuickBooks Online switch works best on the first day of your financial year, so one year's reports sit in one program. The first day of a month is the fallback. Intuit's guide to entering an opening balance notes that most businesses start tracking accounts at the beginning of the year.

Before you fix the date, make sure Sage is reconciled for every bank account up to the day before. The trial balance from Sage is only as good as those reconciliations. An unreconciled month in Sage becomes a wrong opening balance in QuickBooks.

Take each bank account's opening balance from the bank statement, not just from Sage. Intuit's page says the statement is the best source. If the Sage balance and the statement disagree on that date, sort out why in Sage first.

Loading Sage lists and balances into QuickBooks Online

Sage lists go into QuickBooks Online through its Import Data screen, which takes CSV and Excel files. Intuit's common questions on importing data lists the chart of accounts, customers, vendors, products and services and journal entries among the types it accepts. Each file must stay under 1,000 rows.

Load them in this order: chart of accounts, then customers and vendors, then items. Accounts must exist before anything can point at them.

Example: one opening journal entry

The trial balance then becomes a single journal entry dated the start date. The figures below are an example for a start date of 2027-01-01.

Account Debit Credit
Checking 11,940.00
Accounts receivable 3,200.00
Equipment 7,500.00
Credit card 860.00
Accounts payable 1,150.00
Owner's equity 20,630.00
Total 22,640.00 22,640.00

Debits must equal credits, or QuickBooks will not save the entry. Receivables and payables are better entered as the individual open invoices and bills, though. Then customer payments in January have something to settle against. Ask your accountant how they want those two lines handled, because the choice changes the journal.

Can Sage-era bank statements go into QuickBooks Online?

Sage-era bank statements can go into QuickBooks Online, but only for dates on or after your start date. Lines before it are already inside the opening balance. For each bank account, bring in lines from the start date onward through the bank upload, or connect a bank feed that begins there.

If your bank offers CSV or QBO downloads for those months, use them. If it offers only PDF statements, the upload can read a PDF statement and show its lines for you to review, or you can convert it into a file first. SimpleBankConvert is being built to turn PDF bank statements into a CSV or QBO file the QuickBooks Online upload accepts. It is not open for accounts yet, so you can join early access.

Payment processors need their own care. A Stripe or similar payout shows on the bank statement as one deposit, net of fees. If you are moving to QuickBooks Desktop instead of Online, importing Stripe payouts into QuickBooks Desktop shows how to record gross sales and fees from that one deposit.

Sage to QuickBooks Online slips that double a balance

The usual slip in a Sage to QuickBooks Online move is counting the same money twice. It happens in two ways. Bank lines from before the start date get imported on top of the opening balance. Or open invoices go in individually while their total also sits in the opening journal entry.

Check each one after loading:

  1. Bank accounts. Opening balance plus the first month's lines should equal that month's statement closing balance.
  2. Receivables. The aged receivables report in QuickBooks on the start date should equal the Sage aged receivables list.
  3. Payables. The same comparison, for bills.
  4. Balance sheet. QuickBooks' balance sheet on the start date should match the Sage trial balance, account by account.

If any check is out, the difference usually equals one month of bank lines or the total of the open invoices. That amount tells you which slip happened. Fix it before you work on the new period, while the gap is still easy to trace.
