Undo an Added Bank Transaction in QuickBooks Online

By SimpleBankConvertPublished June 29, 2025Updated June 29, 2025

To undo an added bank transaction in QuickBooks Online, open Bank transactions, go to the Categorized tab (some screens call it Posted), select the link in the Added or Matched column for that line, then select Undo. The bank line returns to For review, where you can add it again with the right category or match it.

Where does an added bank transaction go after Undo?

An added bank transaction that you undo goes back to the For review tab, also labelled Pending on newer screens. It is not thrown away. The bank line waits there for a fresh decision, and the entry that QuickBooks created when you first added it is taken out of your books.

That second part matters. When you press Add on a downloaded or uploaded line, QuickBooks writes an expense, deposit or transfer into the account register. Undo reverses that step. Intuit's page on fixing duplicate bank feed transactions in QuickBooks Online describes the result plainly: the transaction goes back to the For review tab, and from there you match it to a record you already have or exclude it.

So Undo is the safe choice when you are not sure yet. A delete from the register is final, while an undone line can be added again a minute later.

Undo steps for one added bank transaction on the Categorized tab

The Categorized tab lists every bank line you have already added or matched for the selected account. Undo lives there, behind the link in the Added or Matched column, not in the register. Pick the account first, because each bank or card account has its own tile and its own list.

  1. In QuickBooks, choose Accounting from All apps and open Bank transactions.
  2. Click the tile of the bank or card account that holds the line.
  3. Switch from For review to the Categorized view; newer menus say Posted.
  4. Locate the line by its date or amount rather than scrolling page after page.
  5. In its row, click the word in the Added or Matched column.
  6. Press Undo in the panel that opens.

The line should now show in For review. If you cannot find the line on the Categorized tab at all, it may never have come from the bank list. A transaction you typed in by hand has no Undo; you edit or delete it in the register instead.

Undo or edit the added transaction: which fix fits?

An edit fixes the details of an entry that belongs in your books. Undo fixes the decision you made about a bank line. If the category, payee or memo is wrong but the line should be there, open the entry and edit it. If the line was added when it should have been matched or excluded, use Undo.

Here is an example of three lines from one month and the fix each one needs. The payees and amounts are made up.

Example line What went wrong Fix
03/04, OFFICE DEPOT, -86.20 Added to Meals instead of Office supplies Edit the expense and change the category
03/11, CLIENT PAYMENT, 1,200.00 Added as a new deposit, but the invoice payment was already recorded Undo, then match it to the existing payment
03/18, TRANSFER TO SAVINGS, -500.00 Added twice from two overlapping uploads Undo the extra copy, then exclude it

The last row is the classic upload mistake. Two files that share a few days put the same lines in For review twice, and a quick Add on both doubles them. Clearing duplicate transactions after a QuickBooks Online upload walks through finding every pair. And if you exclude a line by mistake while you tidy up, restoring excluded transactions in QuickBooks Online brings it back.

Undoing an added bank transaction that is already reconciled

A reconciled bank transaction is one you have ticked off against a bank statement. Undoing it changes a number your past reconciliation depended on, so the beginning balance of your next reconciliation will be off. Undo it only if the line is truly wrong, and plan to reconcile that period again.

Intuit's guide to fixing accounts you reconciled in the past lists "unreconciled" and "deleted" among the causes of a beginning balance that no longer agrees. It also notes that an undone bank feed transaction goes back to Pending. If the period is closed or has been filed, talk to whoever does your books before you touch it.

A quick test before you undo: look at the reconcile status column in the register. "R" means reconciled. A blank or "C" means you can undo with no reconciliation clean-up.

Re-adding the bank line in For review after the undo

The bank line is back in For review and needs one of three choices: add it with corrected details, match it to an entry you already have, or exclude it. Pick based on why you undid it. Excluding keeps the line out of every register and report, but QuickBooks still remembers it, so the bank does not send it again.

  • Add when the line is real but was set up wrong. Choose the right category and payee this time.
  • Match when an invoice payment, bill payment or hand-typed entry already covers it. Open the line and use Find match if QuickBooks does not suggest the right one.
  • Exclude when the line is a copy or does not belong to this business.

If you keep books in Xero as well and wonder how payments behave there, importing payments into Xero explains that side. And if the line came from an upload file you made yourself, check the file before the next upload. SimpleBankConvert is being built to make the upload file from your PDF statement, with dates in one format and a single signed amount column, so fewer lines need undoing. It is not open yet. You can see how it works.
